Best Rental Inspection Practices

As a property manager, it is imperative that you conduct regular inspections of your rental units.

As a property manager, it is imperative that you conduct regular inspections on your rental units. Failure to do so brings a number of risks, including costly damage to your property, or danger to your tenants. Below are some best practices for move-ins, move-outs, and periodic inspections.  

Move-In Inspections

The move-in inspection is conducted prior to a new tenant’s arrival. This inspection is to document the condition of the house before the tenant moves in. When conducting an inspection, the more photos the better. Make sure to take at least two pictures of every room in case of a dispute or question with the tenant. These pictures can also be used to compare with the property’s condition when the tenant moves out. After the inspection occurs, write a report and provide it to your tenant so they can sign and agree to the current condition of the rental unit(s).  

Periodic Inspections

A lot can happen to a property during the span of a lease, making periodic inspections crucial for staying on top of the routine maintenance of your rental units. A landlord walkthrough should happen every six months to ensure that the property is being kept in good condition with no urgent maintenance issues. In the case of a tenant neglecting or abusing your property, this inspection can prevent any costly damage before it happens. Just like a move-in inspection, make sure the tenant has given permission before conducting.

Move-Out Inspections  

Once your tenant moves out, you will need to complete a move-out inspection to check for any damage to the property. During this inspection use a checklist to make sure everything is in working order. To ensure that this inspection goes as smoothly as possible, check in with your tenant a few weeks before their move out date to set expectations. Give the tenant your checklist so they know what they need to do when leaving the property.  


Regular and scheduled inspections can save time and expenses for your business later on, and are non-negotiable as a property manager. Keeping these best practices in mind will keep your properties in perfect condition and your tenants safe and happy.
